Interactive form design for UKs leading membership organisation for adoption fostering and kinship

THE PROBLEM

CoramBAAF, a national membership organisation supporting adoption and fostering professionals, needed to improve the staff experience around their internal forms. Many of their documents were outdated, difficult to complete and not user-friendly — creating barriers to efficient data collection and staff engagement.

They were looking for a solution that would modernise the forms while keeping them practical and accessible across their teams. Some needed to be interactive and fillable, others simply required clearer formatting in Microsoft Word. After being recommended to Squark Design, they got in touch to explore how the experience could be improved across the board.

THE SOLUTION

Following a detailed proposal and planning stage, we began working together to audit, update and improve their forms, prioritising those most frequently used. Over the course of the year, we developed two key formats:

  • Interactive Forms (Adobe Acrobat): For forms where digital completion and interactivity were essential, we used Adobe to create smart, user-friendly PDFs. These included fillable fields, buttons and improved structure to guide users through the forms with ease.
  • Standard Forms (Microsoft Word): For simpler forms that required flexibility and internal editing, we recreated layouts in Word, ensuring consistency, clarity and ease of use, while maintaining CoramBAAF’s branding and document standards.

This hybrid approach gave them the best of both worlds: interactive documents where automation and form-filling mattered most, and editable Word templates for day-to-day admin tasks.

Throughout the process, we worked collaboratively with the CoramBAAF team, incorporating feedback, refining templates and rolling out updates in phases to make the transition smooth and manageable.

THE RESULT

The improved forms have transformed how staff engage with essential documents, making them easier to complete, more professional and significantly more efficient. With cleaner layouts and interactive functionality where needed, the organisation can now collect more accurate data, reduce errors and offer a smoother user experience.

This collaboration has continued for over a year, with ongoing updates as needs evolve. What started as a practical task has grown into a meaningful design partnership, proving that thoughtful form design can have a real and lasting impact on internal operations.
