Have you ever wondered why a prospect seems really engaged, then suddenly goes quiet? It might not be your pricing. It might not be your proposal. But it could be the way your business is communicating between those key moments.

We often think branding is our logo, our website or our marketing. But some of the biggest impressions your business makes happen in places most people never think to look. Your emails. Your proposals. Your meeting invites. Your follow-ups. These everyday interactions are all shaping how people feel about working with you.

Here are the first three places I’d start looking.

Firstly, review the journey between enquiry and proposal. Not the proposal itself, but the experience leading up to it. Are your emails timely? Do they sound like the same business your website promises? Or does the experience feel a little disjointed? Even a simple communication audit can reveal gaps that quietly chip away at confidence.

Secondly, look at your handovers. Whether you’re passing a project to another team member or sending the next steps to a client, ask yourself: Would this feel clear to someone experiencing our business for the first time? Confusion creates hesitation. Clarity builds trust.

Finally, pay attention to the waiting moments. One of the biggest branding mistakes I see isn’t poor design – it’s silence. If a client is waiting and wondering what’s happening next, your brand is still communicating, just not in the way you intended. Map out those waiting points and ask whether you’re keeping people informed and reassured.

Branding isn’t only about what people see. It’s about what they experience when no one’s thinking about branding at all.
